Direct Billing Policy
Direct billing does not guarantee that the insurance company will pay for the service. Clients should be aware and understand what services are covered under their insurance policy. Clients should be prepared to pay the full amount of the service in case their insurance does not cover it.
We reserve the right to decline direct billing under any circumstances that may prevent the clinic from receiving the payment. For example: If the payment goes directly to the policy holder and not the clinic, then we will collect the full amount of the service rendered.
Any balance owed not paid within a reasonable time frame will be sent to collections.
Late Arrival Policy
Clients who arrive late for their appointment will not receive the full treatment duration. The amount of treatment time received is based on how much time is left following the arrival of the client and is still charged the full rate.
For example: if the client arrives 20 minutes late for their 60 minute appointment, the client will only receive 40 minutes of treatment but still have to pay the full rate.
Cancellation/No-Show Policy
Your appointment time is reserved just for you. A late cancellation or missed visit leaves a hole in the therapists' day that could have been filled by another client. As such, we require 24-48 hours notice for any cancellations or changes to your appointment.
Clients who provide less than 24 hours notice will be charged a $50 fee through email, card on file or the next visit.
Clients who do not show up for their appointment will be charged the full amount of the massage session through email, card on file or the next visit.
Do not come in the appointment sick. Please call as soon as possible if you are feeling sick and we will reschedule your appointment accordingly. If you end up coming to the clinic sick, we have the right to decline services, charge the full amount and reschedule your appointment at another time.
We understand there are times when something unexpected happens such as getting sick on the day of the appointment or sudden death of a close friend or family member. For these reasons, there is no charge for cancellation for the first appointment only. In other words, a client is allowed to cancel one appointment per year without penalty.
Please note that cancellation or no show fees are not covered by insurance policies. It is an out of pocket expense the client is responsible for in the event they are unable to arrive at the clinic.
Inappropriate Behaviour and Harassment Policy
Massage therapy is therapeutic and has no association with any form of sexual harassment, alcohol/substance abuse, verbal misconduct and physical misconduct. We do not tolerate such actions and we reserve the rights to refuse, terminate the session and ask the client to leave the clinic premise for the following:
Sexual harassment that involve advances, discussions, gestures and touch.
Clients under the influence of alcohol, intoxication or any substance abuse that may threaten or harm the well being of any clinic staff.
Verbal harassment that insults the professional competence or any personal attack towards any clinic staff
Physical harassment/retaliation that results in any staff being injured.
Any unwanted act described above will be recorded on file and the client will be unable to book any future sessions in the clinic.
Refusal to leave the premise will result in the clinic calling the police and reported to the Massage Therapy Association of Manitoba (MTAM).
The client must pay the full amount of the treatment session to compensate for the time allocated by the massage therapist on the client's behalf.
